We are currently seeking a Procurement and Administrator Officer role, to ensure that the maintenance, purchasing and stores functions of CAF in Parramatta Light Rail Project are delivered efficiently and effectively through high level administration services. Manage purchasing, warehouse, logistics and shipping operations ensuring cost control, budgets, and improving the efficient, accurate and effective management of inventory.
Fundamental roles and responsibilities which are inherent to the position:
• Maintenance management tasks:
o Management of the data entry Asset Management system, to support the production activities. Ensure all paperwork is printed and available for the following shift.
o Control and audit all work order documentation ensuring correct completion, and storage of records to Australian standards.
o Attend and minute Weekly Operations Management meetings.
• Purchasing management tasks:
o Prepare purchase orders in GMAO (manage data, new suppliers and RFQ)
o Create and follow up on purchase orders:
• Invoicing and accounts payable
• Manage the purchasing task in system
• Manage importing shipment custom clearance
o Manage the Internal and External Auditing process
• Logistic management tasks:
o Manage importing shipment custom clearance
• Manage exporting shipment custom clearance
o Coordinate importing freight management
• Supplier Management:
o Set up all new suppliers following the correct process
o Making enquires and following up with CAF suppliers where and when required
• Requisition, Purchase Order and Invoice matching ensuring that CAF Australia’s purchasing and supply protocols are maintained.
• Other administrative tasks relating to the working of the Depot as advised by your Line Manager.
• Maintains safe and clean working environment by complying with all Australia health and safety, quality and environmental legislative requirements.
• Ensure all work is carried out in a safe manner in line with Health, Safety, Environmental and Quality consciousness. Advise management of any changes in materials, plant or processes which may impact on safety, quality or the environment, as well as any improvements that could advance CAF's quality and environmental performance.
Education:
Qualifications: Diploma in Purchasing, Commerce or Logistics or relevant work experience.
Work Experience:
You must have some experience in Purchase, Customs Clearance administrative work. You must have good communication skills, good attention to detail, ability to multi-task and prioritise workload and be self-motivated. Conversant in excel, word and other office IT systems will be required.
Additional Requirements:
English essential. Spanish would be beneficial although not required for this position.
