The Jerusalem Light Rail Project is a complex and dynamic national transportation initiative.
We are seeking a Personal Assistant to the Technical Manager to take professional responsibility for calendar management, meeting summaries, process leadership, document control, and task tracking within an international project environment.
The role involves daily interaction with public authorities, contractors, local and international technical teams, and various stakeholders.
The Personal Assistant will act as the professional and operational right hand of the Technical Manager and must demonstrate independence, initiative, accuracy, and the ability to perform in a challenging, multi-interface environment.

Key Responsibilities

Calendar & Meeting Management

  • Manage the Technical Manager’s calendar, including coordination of local and international meetings

  • Prepare materials such as presentations, reports, and technical documents

  • Write and distribute meeting minutes and follow up on action items

Process & Task Management

  • Lead and monitor key technical processes in the project

  • Track tasks and deliverables across internal and external teams

  • Ensure project timelines are met through coordination with stakeholders

Document Control

  • Manage technical documentation: version control, quality checks, distribution

  • Prepare technical reports, status updates, and official submissions

  • Maintain document control systems (SharePoint or equivalent)

Communication & Stakeholder Management

  • Maintain ongoing communication with public authorities, contractors, suppliers, and international teams

  • Draft professional correspondence in Hebrew and English

General Support

  • Manage the Technical Manager’s inbox and handle communications

  • Lead special assignments and ensure full coordination with other project teams

Requirements

  • Proven experience as a Personal Assistant, Project Coordinator, Document Controller, or similar role in a complex project environment

  • Experience in infrastructure, transportation, or engineering projects – advantage

  • Strong skills in process and task tracking, stakeholder coordination

  • Full fluency in Hebrew and English (spoken and written)

  • Proficiency in Microsoft Office; SharePoint experience – advantage

  • Ability to work under pressure, manage multiple tasks, and meet deadlines

  • High level of discretion, accountability, and interpersonal skills

Advantages
