Mission of the position
The Business Support Administrator will be responsible for facilitating the activities of the management team as required, organising and preparing for meetings in line with the central governance structure. Maintaining the travel booking system for all of CAF Rolling Stock UK, acting as main point of contact for support and making taxi arrangements as requested.
Functions and responsibilities
- Provide support across the business by providing critical administrative support activities to ensure the effective and efficient running of the organisation.
- Support the creation, evolution and deployment of the business strategy.
- Deliver administrative support across the organisation, as directed, which includes, but is not limited to, production of reports for functional and cross functional meetings, travel, accommodation and meeting bookings, supporting the effective running of CAF’s offices etc.
- Provide diary support to COO and the management team as appropriate; arranging meetings and meeting rooms to support business needs.
- Support the development and deployment of the communications plan. Coordination of COO’s company briefings, including preparing powerpoint presentations from information provided. Consolidating information from multiple stakeholders to prepare for Group meetings.
Functions and responsibilities
- Maintain the company travel system, including administering CAF SA’s ieDOC process and management of the corporate Taxi account.
- Organising and preparing for meetings in line with the central governance structure.
- Hosting and greeting Senior visitors to the Newport factory, coordinating visits, and ensuring a smooth and positive experience for attendees.
- Supporting the creation of communications for both internal and external audiences; including liaising with CAF's external marketing and PR company, to ensure that communications are planned and prepared in line with agreed timelines.
- Responsible for facilitating the creation of the communications plan and holding communication owners to account in updating and tracking their performance against it.
- Facilitating the organisation of events, including communications briefings, engagement activities and offsite meetings to ensure that such events run smoothly.
Required professional experience
NVQ Level 3 or equivalent in Business Administration
Strong Microsoft office skills, particularly word and powerpoint
Able to understand complex topics to determine and capture the key agreements, actions and owners to produce coherent, concise notes to be shared with all parties.
